Welcome to the Modarhem User Guide. This comprehensive manual covers every feature of the platform — from initial setup to advanced configurations. Use the table of contents below to navigate to any section.

Getting Started

Set up your Modarhem account and configure your organization in a few simple steps.

  1. Create your account at modarhem.com/register using your email or Google account.
  2. Complete the onboarding wizard — enter your organization name, tax number, and CR number.
  3. Invite your team members from Settings > Members & Access and assign appropriate roles.
  4. Configure your fiscal year and chart of accounts to match your accounting structure.

Tip: Use the Onboarding Checklist (accessible from the sidebar) to track your setup progress.

Dashboard

Your dashboard provides a real-time overview of your financial health at a glance.

The dashboard displays key metrics including total revenue, expenses, outstanding invoices, and net income. Charts show trends over configurable time periods.

Quick action buttons let you create invoices, record payments, and add expenses directly from the dashboard.

The activity feed shows recent transactions across all modules for quick reference.

Tip: Click on any chart or metric card to drill down into the detailed report.

Customers & Suppliers

Manage your customers, suppliers, and business contacts in one unified directory.

Add contacts with full details — name, tax number, address, phone, email, and payment terms. Each contact can be a customer, supplier, or both.

View a complete history of all transactions with any contact, including invoices, payments, quotes, and account statements.

Generate client portal links to let customers view their invoices and statements online through a secure branded portal.

Tip: Use the Contact Statement report to share outstanding balances with customers.

Products & Services

Build your product catalog with pricing, barcodes, and inventory tracking.

Create products with Arabic and English names, SKU codes, barcodes, pricing, and tax configuration. Set different prices for different branches if needed.

Track inventory levels across multiple warehouses with automatic stock deduction on invoice creation.

Organize products into categories and use batch tracking or serial numbers for regulated items.

Tip: Use the Import/Export module to bulk-upload products from Excel or CSV files.

Invoices

Create, send, and manage invoices with full ZATCA e-invoicing compliance.

Create invoices from scratch or convert quotations. Add line items, apply discounts, and configure tax settings per line or globally.

Enable ZATCA Phase 1 to automatically generate QR codes on every invoice. Phase 2 provides real-time submission and clearance with ZATCA.

Send invoices via email or WhatsApp. Track viewed, paid, and overdue statuses from the invoice list.

Set up recurring invoices for subscription-based billing with automatic generation and sending.

Tip: Customize your invoice template in Settings > Invoice Templates — choose layout, colors, and which fields to show.

Quotations

Create professional quotations and convert them to invoices with one click.

Build quotations with the same line item editor as invoices. Set expiry dates and add custom notes or terms.

When a customer accepts, convert the quotation to an invoice instantly — all items, pricing, and contact details carry over.

Track quotation statuses: Draft, Sent, Accepted, Rejected, or Expired.

Tip: Share quotations via a secure link that customers can view and accept online.

Expenses

Record and categorize business expenses for accurate profit tracking.

Log expenses against specific accounts, cost centers, and categories. Attach receipts and supporting documents.

Create purchase orders for supplier procurement and track delivery against ordered quantities.

Use expense reports to analyze spending patterns by category, time period, or cost center.

Tip: Link expenses to specific projects for project-based cost tracking and profitability analysis.

Payments

Record received and sent payments, with online payment gateway support.

Record cash, bank transfer, or card payments against specific invoices. Support partial payments and overpayments.

Enable Moyasar payment gateway for online credit card and Apple Pay acceptance directly on invoices.

Set up payment plans with the Installments module for large invoices that need to be paid over time.

Tip: Use Payment Links to send one-time payment URLs to customers for quick collection.

Installments

Create payment plans and track installment schedules for large invoices.

Split any invoice into a custom number of installments with flexible due dates.

Track paid, pending, and overdue installments. Send automated reminders before due dates.

View installment reports showing upcoming payments and overdue amounts across all customers.

Tip: Combine installments with WhatsApp reminders for automated payment follow-ups.

Inventory

Manage warehouses, stock levels, transfers, and batch tracking.

Create multiple warehouses and track stock levels for each product at each location.

Process stock transfers between warehouses with full audit trail and approval workflow.

Use batch tracking for perishable goods and serial numbers for high-value items.

Set low-stock alerts to receive notifications when inventory falls below threshold levels.

Tip: Use the Inventory Valuation report to understand the total value of your stock at any point in time.

Reports

Generate financial reports including P&L, balance sheet, VAT reports, and custom exports.

Trial Balance — Shows debit and credit balances for all accounts in a selected period.

Income Statement (P&L) — Calculates net income from revenue minus expenses for a chosen date range.

Balance Sheet — Displays assets, liabilities, and equity as of a specific date.

VAT Report — Summarizes output VAT (sales) and input VAT (purchases) for your filing period.

Aged Receivables/Payables — Shows outstanding amounts grouped by aging buckets (current, 30, 60, 90+ days).

General Ledger — Full transaction history for any account with running balances.

Tip: Export any report to Excel or PDF using the export button at the top of each report page.

Settings

Configure every aspect of your Modarhem organization across 15 settings tabs.

  • General — Organization name, tax number, CR number, contact details, and address.
  • Invoice Templates — Layout style (Classic/Modern/Minimal), brand color, field visibility, and footer text.
  • Fiscal Years — Create and manage fiscal years and accounting periods.
  • Cost Centers — Set up hierarchical cost centers for departmental expense tracking.
  • Bank Accounts — Add bank accounts with IBAN and link them to GL accounts.
  • Branches — Manage multiple business locations with individual contact details.
  • Digital Menu — Enable QR code menus for restaurants and retail.
  • WhatsApp — Connect WhatsApp Business for automated invoice and payment notifications.
  • ZATCA — Configure e-invoicing compliance for Phase 1 (QR codes) and Phase 2 (clearance).
  • Security — Enable two-factor authentication (2FA) for your account.
  • Members & Access — Invite team members and configure role-based permissions.
  • API Keys — Generate keys for third-party integrations.
  • Webhooks — Set up real-time event notifications to external systems.
  • Client Portal — Enable customer self-service invoice viewing.
  • Digital Stamps — Create cryptographically signed stamps for official documents.
  • Policies — Write and publish your store policies (shipping, returns, exchange, refund, warranty, privacy, and terms). Each is versioned with draft and publish states and an effective date, gets its own public page at /p/your-store, and you can print a QR code linking to them on your invoices from the Invoice template settings. You own the legal wording — start from the built-in template and adapt it.

Security & Compliance

Modarhem is built with enterprise-grade security and Saudi regulatory compliance.

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Sensitive fields like API keys and WhatsApp tokens are individually encrypted.

Row-Level Security (RLS) in PostgreSQL ensures complete tenant isolation — no organization can ever access another's data.

ZATCA Phase 1 and Phase 2 compliance for electronic invoicing as mandated by the Saudi government.

Two-factor authentication (2FA) protects sensitive operations. All actions are logged in the Audit Log for full accountability.

Zero-tolerance firewall with automatic IP banning. Daily encrypted backups to multiple geographic regions.

Tip: Enable 2FA from Settings > Security — it protects all destructive operations like deleting invoices or changing roles.

Common Workflows

Some tasks span multiple modules. Here is the real path for the most common ones — bookmark this section.

Add an employee (for shifts, payroll, HR): open Settings → Members and invite them by email. Once they accept, go to /shifts, click Add Employee, and pick them from the list. HR details (salary, allowances, GOSI) can be set afterwards on the /hr page.

Create your first invoice: first add the customer under /contacts (type = customer). Ensure a revenue account exists under /accounts. Then open /invoices and click New.

Record a purchase from a supplier: add the supplier under /contacts with type = supplier. Ensure an expense account exists under /accounts. Then open /purchase-orders and click New.

Start selling with POS: add at least one branch from Settings → Branches, create products under /products, ensure a revenue account exists under /accounts, then open /pos.

Record a payment: ensure the counterparty exists under /contacts, add a bank account under /banking if paying by bank transfer, then open /payments and click New.

Tip: If a dropdown looks empty, you likely need to create the underlying record first. The Setup Guide lists the missing prerequisites and links you to the right setup screen.

Security Setup Checklist

Run through this list the first week you're on Modarhem. Each item takes under a minute and closes a real risk surface.

Enable 2FA on your owner account from Settings → Security. This gates every destructive or privileged action — role changes, MFA resets, API tokens, data exports.

Invite teammates with the least-privileged role that still lets them do their job. You can adjust per-user permissions from Settings → Access. Avoid giving everyone Admin.

Review Settings → Compliance and attach your CR certificate or freelance licence. If you're under the VAT threshold, declare the exemption here — Modarhem auto-revokes it when TTM crosses 375,000 SAR.

If you collect sensitive data (bank IBANs, national IDs), confirm the fields show the green "Encrypted at rest" badge. That badge means the value is wrapped with AES-256-GCM before it hits the database.

Open Settings → Connected Apps and authorise at least one cloud destination (Google Drive or Dropbox). Weekly bundle pushes give you your own off-platform backup, independent of Modarhem.

HR & Payroll

Manage your team end-to-end — employees, payroll, Saudi statutory filings, and end-of-service — from the HR module. Everything posts to the same ledger your accountant already uses.

Add employees under HR → Employees with salary, allowances, GOSI number, ID (encrypted at rest), and bank IBAN. Issue branded employee ID cards with a scannable QR for verification.

Run payroll from HR → Payroll: create a run, calculate, approve, and post it to the general ledger in one flow. Each employee gets a printable payslip; the journal entry splits salary and employer-GOSI expense automatically.

Saudi filings: pre-fill GOSI forms (e.g. Form 7 — Subscriber Operations) from employee data, and export the Al Rajhi WPS bank-salary file for an approved run. Modarhem generates the file for you to upload to your bank/portal — it does not submit on your behalf.

End-of-service & advances: EOSB accrues and settles per Saudi Labour Law (½-month for the first 5 years, full month thereafter), and salary advances are recovered automatically from future payroll runs.

Day-to-day: track leave balances, attendance, and performance reviews. Approved payroll runs lock the figures, which is what unlocks the WPS file and final payslips.

Tip: Approve the month's attendance before running payroll — an approved run freezes the numbers, so re-exporting the WPS file or a payslip always matches what you filed.
